Announcing the Conference Registration Process

We are thrilled to hear the enthusiasm that so many of you have shared that our Philadelphia Trans Wellness Conference will be returning in 2024, in person, on the campus of Temple University. As we have a more limited capacity this year than in our years at the Philadelphia Convention Center, we know there has been great interest in learning when registration will launch and how it will be managed.   

While Temple provides a beautiful facility for PTWC, our space constraints likely mean that we will not be able to accommodate everyone who wishes to attend in person. As such, we’ve worked hard to develop a thoughtful approach to registration that best advances equity and fosters a diverse community of participants.

There are a lot of details below, as being mindful of the details and doing things the right way is important to us. We appreciate your reading.

Registration Launch:    

All registration for the in-person conference, for both our continuing education tracks (scheduled for Thursday, September 5) and our general conference (Friday, September 6 and Saturday, September 7) will launch on Monday morning, May 6 at 9:00 am EDT.

Continuing Education Tracks Registration:

Medical, Behavioral Health, and Legal Tracks will have a registration fee and limited capacity. Registration for these tracks will be on a first-come, first served basis until each track reaches its capacity.

General Conference Registration:

  1. The online registration platform for the general conference will open for an initial one-week window beginning Monday, May 6 at 9:00 am EDT and closing Monday, May 13 at 9:00 am EDT.
  2. Registration during this initial one-week window does not guarantee participation.
  3. Capacity: 1,000 participants per day.
  4. Individual or Group: Submit the registration form just for yourself or for a group of up to four people.
  5. Date: Choose to register for just Friday, just Saturday, or both.
  6. When the initial registration window is closed on May 13:
  • If the total number of registrants does not exceed 1,000 for each day, all those who have submitted registration will be granted conference participation. All those who are granted conference participation shall be notified by email, asked to confirm their intention to participate, and offered an opportunity to provide a voluntary contribution associated with their participation. The portal will then be re-opened on a first-come, first-served basis until the general conference reaches capacity.
  • If the total number of registrants exceeds 1,000, then all registration groups shall be entered into a random lottery. As each registration group is drawn in the lottery, the total participants in that group shall be granted conference participation. The lottery shall be drawn until the total number of participants granted conference participation reaches 1,000 total participants for each day of the conference. All those who are granted conference participation shall be notified by email, asked to confirm their intention to participate, and offered an opportunity to provide a voluntary contribution associated with their participation. All those who are unable to be granted conference participation shall be notified and offered opportunities for limited virtual participation. If space does become open for any reason, registration will be offered to those next in the initial lottery order.

Virtual Participation:

It is our intent to provide meaningful and high-quality virtual participation opportunities. We are still working out the details on virtual participation, which will likely include opportunities for live viewing of selected speakers and specially curated virtual-only workshops. We look forward to providing more information on virtual participation and registration sometime this summer.

Same-Day Registration/Walk-Ins:

  •  If space is available in any of the continuing education tracks, same-day registration will be available on-site at Temple University.
  •  Due to space limitations and security, there will be no same-day registration or walk-ins available for the general conference.
